SUMMARY

Responsible for payments of goods and services necessary for the basic operation and compiles and maintains accounts payable records. Evaluates and revises internal processes to reduce costs and increase efficiencies. Qualifications include two years of direct experience in accounts payable and purchase orders.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Maintains prompt and regular attendance.

Punctual

All duties are performed under the guidance of the Controller but must be able to work without supervision and to make appropriate decisions.

Understands accounts payable operations and procedures.

Reviews, codes and processes account payable check requests.

Performs complex and confidential accounts payable related functions to ensure accounts payables flow smoothly.

Processes invoices into the computer system.

Researches vendor statements, phone calls and discrepancies.

Files paid and unpaid invoices and statements.

Explains and supports company policies and procedures.

Follows verbal and written communications and communicates effectively with public, customers, coworkers and owners in a professional and courteous manner both orally and in writing.

Provides guidance, direction and information to employees, customers, supervisors and owners on specific Accounts Payable situations that may arise.

Works in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.

Ability to interface well with all customers, and all departments of the Company and to represent the Controller in a highly professional manner.

Handles confidential and non-routine information.

Handles inquiries from vendors.

Responds effectively to questions and inquiries, and multi-task oriented.

Collects information, compiles into standard or non-standard format, prints, proofs and distributes to appropriate company personnel.

Ensures that the companies' rules, safety standards are followed.

Ability to operate office equipment, and independently apply and carry out policies and procedures within assigned area of responsibility.

SUPERVISORY RESPONSIBILITIES:

This job has no supervisory responsibilities.

This position requires two (2) years direct experience in accounts payable and purchase orders.

COMPUTER EQUIPMENT AND SOFTWARE REQUIREMENTS:

Fusion, Word, Excel, Outlook, Access

EDUCATION and/or EXPERIENCE

Two years of related accounts payable experience and/or training supplemented with course work in data entry, computer operation in an administrative or accounting environment involving bookkeeping or accounting; or equivalent combination of education and experience requiring excellent interpersonal skills in a customer focused environment. Ability to operate telephone, photocopier, fax machine, and PC workstation. Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and other software (Office) and a typing speed of 60 words per minute accurately. Must possess excellent business writing, editing and proofreading skills. Work requires continual attention to detail in composing, typing and proofing materials and records, establishing priorities and meeting deadlines. Must possess ability and a willingness to learn.

LANGUAGE SKILLS

Ability to read and interpret documents and correspondence. Ability to speak effectively both one-on-one and to employees of the organization. Fluency in the English language is essential.

MATHEMATICAL SKILLS

Good with basic math. Must possess the ability to make mathematical computations with accuracy. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

REASONING ABILITY

Ability to apply common sense understanding to carry out simple instructions. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to multi-task and establish priorities. Ability to coordinate a number of complex tasks simultaneously while working under pressure to meet deadlines. Ability to maintain flexible attitude and approach towards assignments and successfully operate under ambiguous guidelines. Ability to maintain organization in a changing environment. Ability to determinate proper course of action to resolve escalated accounts payable issues. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
